    How to use this template

    What HMRC requires

    • Date of every business journey
    • Start and end location (postcodes are best practice)
    • Purpose of the journey (e.g. "client appointment", "wholesaler trip", "training course")
    • Miles driven
    • HMRC can ask for this log during a compliance check. If you don't have one, you can't claim mileage.

    HMRC approved mileage rates (2025-26)

    • First 10,000 business miles per tax year: 45p per mile
    • Every mile after 10,000: 25p per mile
    • These rates cover all vehicle costs: fuel, insurance, road tax, MOT, servicing, depreciation. You cannot claim these costs separately if you use the mileage rate.

    What counts as a business journey

    • Home to client's home (for mobile workers) - YES
    • Client to client - YES
    • Home or salon to wholesaler (e.g. Sally Beauty, Capital Hair) - YES
    • Home or salon to training course - YES
    • Regular commute to the same salon every day - NO (this is commuting)
    • One-off trip to a different salon or event - YES

    Tips

    • Log every journey on the day it happens. Don't try to remember a month's worth of journeys at the end.
    • Use Google Maps to check distances if you're unsure.
    • Mileage tracking apps (MileIQ, Driversnote) can automate this, but keep a paper backup.
    • A mobile beauty worker doing 8,000 business miles per year can claim £3,600 in mileage expenses, saving roughly £720 in tax (at 20% basic rate). Don't leave this money on the table.
    • Keep your mileage log for at least 5 years after the 31 January submission deadline for the relevant tax year.
