    Making Tax Digital (MTD) for Income Tax requires quarterly updates to HMRC. Use this checklist each quarter to make sure you're submitting accurately and on time.

    Before You Start

    • Check your MTD-compatible software is up to date
    • Make sure your software is linked to your HMRC account
    • Have your bank statements ready for the quarter
    • Set aside 1-2 hours with no interruptions

    Income Review

    • Check all client payments are recorded (card, cash, bank transfer)
    • Verify card machine totals match your records
    • Check for any cash payments you haven't logged
    • Record any tips received (these count as income)
    • Check for any refunds or chargebacks and record them
    • Verify any product sales income is included
    • Record any other business income (training you've delivered, affiliate income, etc.)

    Expense Review

    • Categorise all expenses correctly (use the Allowable Expenses template for reference)
    • Check for any uncategorised transactions
    • Upload or file receipts for all expenses
    • Check for any personal expenses accidentally included
    • Record use-of-home allowance if applicable
    • Check phone bill apportionment is correct

    Mileage (Mobile Workers)

    • Update mileage log with all business journeys this quarter
    • Each entry should have: date, start point, destination, miles, business purpose
    • Calculate total business miles for the quarter
    • Check if you've passed the 10,000-mile threshold (rate drops from 45p to 25p)

    Bank Reconciliation

    • Match every bank transaction to an income or expense entry
    • Investigate any unmatched transactions
    • Check for any standing orders or direct debits you may have missed
    • Verify opening balance matches the previous quarter's closing balance

    Final Checks

    • Does your profit figure look reasonable compared to last quarter?
    • Are there any large or unusual items that need a note?
    • Have you checked for duplicate entries?
    • Is everything categorised (no items sitting in 'uncategorised')?

    Submit

    • Preview the submission in your software
    • Check the figures one more time
    • Submit to HMRC through your MTD software
    • Save or screenshot the confirmation
    • Note the submission reference: [REFERENCE NUMBER]
    • Save a backup of your records for this quarter

    After Submission

    • File this checklist with your records
    • Set a reminder for next quarter's deadline
    • Note any issues to fix next quarter
