    Use this tracker to record your self-employment income and expenses for each UC assessment period. The figure DWP needs from you is your net profit - not your turnover.

    Notes

    Use this space to record anything unusual about this period that you may need to explain to your work coach. For example:

    • A one-off equipment purchase that makes expenses look higher than usual
    • A quiet month (holiday, illness, seasonal dip)
    • A busy month with one-off income (e.g. wedding work)
    • Stock purchased in bulk that will last several months
    • Training days where you earned no income but were working on your business




    Important Reminders

    Minimum Income Floor (MIF): If you have been self-employed for more than 12 months (the "start-up period"), DWP may apply the Minimum Income Floor. This means they assume you are earning at least the equivalent of National Minimum Wage for your expected hours, even if your actual earnings are lower. Your UC payment is calculated on the higher of your actual earnings or the MIF - you do not get extra UC to top up a bad month.

    During your first 12 months of self-employment, the MIF usually does not apply, and UC is based on your actual reported earnings.

    What counts as income:

    • All money received from clients, including cash and tips
    • Product sales
    • Any business grants or support payments (check with your work coach - some are treated differently)

    What does NOT count as income:

    • Money you transfer between your own accounts
    • VAT collected (if VAT registered) - this belongs to HMRC, not you
    • Loans

    How to use this template

    • Fill this in at the end of each UC assessment period, before you report to UC via your online journal.
    • Report the net profit figure (income minus expenses) to UC. This is the number that matters.
    • Keep receipts for all expenses. DWP can ask to see them at any time, and often do during compliance interviews.
    • If you report zero or negative profit, UC uses that figure to calculate your payment (unless the Minimum Income Floor applies after your first 12 months).
    • Do NOT overstate expenses. Claiming expenses you did not incur or inflating amounts is fraud. DWP cross-checks with HMRC and investigates discrepancies.
    • Do NOT understate income. If DWP discovers unreported income, you will have an overpayment to repay, potentially with penalties.
    • Keep these completed sheets for at least 6 years. They are your evidence if DWP queries anything, and they are also useful for your self-assessment tax return.
    • If your income varies a lot month to month (which is normal in beauty), keep a brief note explaining why. Work coaches are more understanding when you can show them the pattern.
    • Print a fresh copy for each assessment period, or save a blank digital version and fill in a new copy each month.
    Report NET PROFIT not turnover. Do NOT overstate expenses. Keep these sheets for at least 6 years.
